Job Description

The African Initiatives for Relief and Development (AIRD) is a non-political, non-religious and non-profit making NGO with Country Programme Offices in Burkina Faso, Cameroon, Central African Republic, Chad, Democratic Republic of Congo, Ethiopia, Liberia, Niger, Tanzania, Uganda and South Sudan. AIRD’s objective is to offer operational support, including but not limited to: supply chain, logistics, construction, infrastructure, environment, livelihoods and WASH in partnership with relief and development organizations that focus on disaster-affected and development oriented areas. AIRD delivers for and through partners including but not limited to UN Agencies, international and national donor organizations and governments.

AIRD is working with stakeholders in Ethiopia on an anticipated project in Somali Region.  It is in view of this that the position of Finance and Administration Officer is being advertised.

The Finance and Administration Officer is responsible for overseeing the financial and administrative operations of the organization. This role involves managing financial transactions, preparing financial reports, budgeting, providing administrative support and ensuring compliance with regulations.

Key Responsibilities

General Duties

·        Maintain the Country Office financial management systems and records in order to safeguard the assets and interest of the organization.

·        Adopt adequate controls over cash and bank to minimize the risk of fraud or misappropriation.

·        Closely monitor all financial activities, and keep the Operations Manager informed of all situations which have the potential for a negative impact on internal controls or financial management performance

·        Assist the Operations in the management of financial administration of the Country Office and country program support in compliance with AIRD Finance and Procurement SOPs and all applicable laws, rules and regulations

1. Financial Management Activities

·        Manage day to day financial transactions such as invoicing, accounts payable, accounts receivable and payroll.

·        Prepare financial statements, budgets, forecasts, and reports management

·        Monitor and analyses financial data to identify areas of improvement and cost reduction.

·        Perform Budget to actual reports (BVA), financial projections and burn rates analysis for agreements; financial analyses based on project activities.

·        Prepare and submit accurate and timely financial donor reports

·        Support Donor-related compliance/Business Systems Reviews, including follow up and complete resolution of findings; support annual internal and external audits and compliance review functions and follow up of findings

·       Ensure compliance with accounting standards, regulations and internal policies

2. Logistics, Human Resource and Administration Activities

·       Provide administrative support to various departments with the country program

·       Manage office supplies, equipment and facilities

·       Coordinate meetings, events and travel arrangements

·       Maintain records and files in an organized manner

3. Compliance

·        Ensure compliance with relevant laws, regulations, and best practice

·        Prepare and submit regulatory reports and filings as required

·        Work with external auditors during audits

4. Communication:

·        Communicate financial information effectively to stakeholders

·        Collaborate with other departments to support organizational goals

·       Provide financial guidance and support to staff as neede

Qualifications, experience and skills

·         Bachelor’s degree in finance, Accounting or other related field of study

·        A qualified professional certificate like ACCA, CIMA will be an added advantage

·        Minimum 3-4 years of experience directly supporting/managing Finance in an NGO or corporate environment with at least 2 years in a similar position.

·        Solid knowledge of accounting and financial reporting

·        Experience in using QuickBooks accounting system, solid knowledge of computer software and modern accounting systems; particularly Microsoft Excel.

·        Excellent knowledge of the Ethiopian fiscal environment

·        Working knowledge and understanding of UN, Government funded projects as well other Grants’ rules and regulations.

·        Excellent analytical, oral and written communication skills in English.

·        Highly organized with ability to prioritize and multi-task while working as part of a team

·        Possess strong accuracy, attention to detail and ability to follow through

·        Computer literate, with strong knowledge of, and experience with Microsoft Office applications (Word, Excel, PowerPoint); Databases, Spreadsheets, E-mail and Internet.

·        Honest, energetic, independent, self-motivated and administratively self-sufficient; problem Solving skills and Flexibility.

Ability to maintain confidentiality, exercise discretion and sound judgment.
