BACKGROUND

The United Nations Human Settlements Programme, UN-Habitat, is the United Nations agency for human settlements. It is mandated by the UN General Assembly to promote socially and environmentally sustainable towns and cities with the goal of providing adequate shelter for all.
Through its Regional Office for Africa (ROAf), located in Nairobi, Kenya, UN-Habitat has been supporting African governments to take early action to position themselves for predominately urban populations to achieve sustainable urbanization and the right to adequate housing for all, within the framework of the 2030 Sustainable Development Agenda – particularly Sustainable Development Goal 11 to “make cities and human settlements inclusive, safe, resilient and sustainable” – and the New Urban Agenda.
Since 1998, the UN-Habitat has implemented several projects in Ethiopia. Key areas of partnership include: Capacity Building for Sustainable Urban Development, Implementation of the Habitat Agenda, Integrating Local Development Planning and Slum Upgrading in Urban Policy,  Cities without Slums, Water for African Cities Programme – Phases I and II, Promoting Sustainable Transport Solutions for East Africa (SUSTRAN), Support to the improvement of Public Spaces in Addis Ababa,  Support in rehabilitation of Solid waste dump sites in a number of cities, Support in development of Structural plans, Supporting the Ethiopian Cities Sustainable prosperity Goals (ECSPGs),  and Development of the State of Addis Ababa Reports.
Together with the Ethiopian Ministry of Urban Development and Construction (MUDCo), UN Habitat’s latest endeavour is the preparation of Regional Development Spatial Plans to strengthen coordination and cooperation among spatial development plans at all levels (federal, regional, local) and to identify unique opportunities and comparative advantages to support regional economic development, complementarity for growth and also to attract investments.
The main objective of the project is to prepare regional development spatial plans for the regional states of Tigray, Afar, Amhara, Oromia, Somali, Benishangul Gumuz, Southern Nations, Nationalities and People (SNNP), Gambella, Harari and Sidama that can enable them define and achieve their own development goals in line with the national development goals.

 

DUTIES AND RESPONSIBILITIES

Summary of key functions:
  • Provision of reliable and secure driving services.
  • Provision of Clerical and administration support to the Project Administrative Assistant on procurement and general administrative tasks.
  • Mail and document collection and delivery.
  • Proper use of vehicle.
  • Day-to-day maintenance of the assigned vehicle.
  • Availability of documents/ supplies.
  • Process utilities matters.
  • Maintain records and provide logistical support to agencies.
Duties and Responsibilities:
1.Ensures provision of reliable and safe driving services by a) driving office vehicles for the transport of country program and project staff, consultants and officials and visitors and delivery and collection of mail, documents and other items, and b) meeting official personnel and visitors at the airport including visa and customs formalities arrangement when required.
2.Provision of Clerical and administration support to the Project Administrative Assistant on procurement and general administrative tasks.
  • Assisting in preparations of reports related to fleet management.
  • Registering of incoming and outgoing documents and correspondence.
  • Assisting logistical preparations for field trips, visiting missions, workshops etc.
  • support in annual vehicle inspection and insurance renewal for UN Habitat project vehicles.
  • Distributing and collecting RFQs, POs and other documents to and from the vendors.
3.Ensures cost-savings through proper use of vehicle through accurate maintenance of daily vehicle logs, provision of inputs to preparation of the vehicle maintenance plans and reports.
4.Ensures proper day-to-day maintenance of the assigned vehicle through timely minor repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes, car washing, etc.
5.Ensures availability of all the required documents/supplies including vehicle insurance, vehicle logs, office directory, map of the city/country, first aid kit, and necessary spare parts in the assigned vehicle.
6.Ensures that all immediate actions required by rules and regulations are taken in case of involvement in accidents.
7.Ensures utilities related correspondence are prepared and associated papers and documents are filed. Follows-up utilities bills for timely payments.
8.Ensures incoming mails are sorted and distributed both outside and inside the organization and dispatch outgoing mails.
9.Ensures that all logistical and administrative tasks with other agencies are handled with care.

REQUIRED SKILLS AND EXPERIENCE

Education:
  • Minimum of completed Secondary Education. Valid Driver’s license.
Experience:
  • 4 years’ work experience as a driver; safe driving record; knowledge of driving rules and regulations and skills in minor vehicle repair.
  • Previous working experience in International Organizations, Embassies or the UN is desirable
Language Requirements:
  • Fluency in Amharic, knowledge of English.
