Major Responsibility
- Handling Organization Petty Cash establishment and replenishment, Proper Keeping of petty cash and the organizations Cheque in the organizations safe box. Organizing Cash payment vouchers for Check payments.
- Handles cash collection and timely deposit in the bank, Prepares deposit voucher to record cash collection and deposits. Handles all bank matters except collecting checkbooks, which have to be done by other finance staffs. In addition to this, having a well-monitored checkbook and update in every transaction.
- Ensure approval of documentation and Writing Cheques, preparing cheque payment voucher being signed and approved with designated signatories. Distributing Cheques and collecting valid receipts, invoices, and any other supporting documents against the payment
- Ensure proper approval and authorization of Trainee attendance signature of training documents.
- Daily cancelation of documents with PAID Stamp and Create well-structured filing system & delivered to finance as well as collecting WHT (withholding tax) from suppliers as per the finance review.
- Proper Recording of Fuel Coupon in and out in standard WV format and registration book, making balance on time, submit the reports as soon as needed to finance.
- Ensure receipt of all goods/materials procured/ supplied by donation into the warehouse, certify that they are as detailed on supporting procurement documentation and accepted by incoming inspection, against issuing of Goods Receiving Note (G.R.N).
- Properly manage goods/materials in an orderly manner according to the stock classification, oversees and administers the operations of stock movement,
- Distribute stock items/transit items against a properly authorized warehouse requisition using Goods Issue Ticket, (G.I.T.) and adjust bin balance card accordingly.
- Maintain files appropriately to the activities of the work unit, such as invoice, copy of P/R, P/O, GRN, Warehouse Issue Ticket…as well as Filing of distribution list or model 19 from the target community or delivered Gov’t office. Distribute copy documents to the concerned work unit & staff.
- Make certain the security of warehouse and all items under his control by controlling security measures to all access area; follow the organizational safety security procedures.
- Review inventories for obsolete/ slow moving of passed “shelf life” materials and periodically submit appropriate report for his supervisor.
- Make self- imposed checks between perpetual records and actual stock and investigate any discrepancies where necessary with report to his supervisor
- Be prepared at any time for management stock take; Establish minimum/maximum stock levels from all stock items and prepare and submit periodic stock movement report to his supervisor. Keep all storeroom area under his control in a clean and orderly condition at all times.
- Record a returned resources and spare parts, keep it on a safe way and put it Green in a separate place.
Required Education, training, license, registration, and certification
- Degree or Diploma in Accounting or related field
Required Professional Experience
- At least 3 years of experience in Cashier/Store Keeper Other NGO experience is preferred
Preferred Knowledge and Qualifications
- Basic computer skills and digital cash management
- Excellent communication skills, both oral and written in English.
